Rootvo ("we", "us") is the data controller for personal information collected through rootvo.com. Our details are at the bottom of this page.

What we collect

When you place an order, we collect your name, email address, delivery address, billing address, phone number (if provided) and order details. Payment details are handled directly by our payment provider — we never see or store your full card number.

When you browse the site, we collect information about your device, browser, IP address and how you use the site, through cookies and similar technologies.

If you subscribe to our emails, we collect your email address.

Why we use it

• To fulfil your order — processing payment, arranging delivery, and contacting you about your order. Legal basis: performance of a contract.
• To provide support — answering your questions and handling returns. Legal basis: performance of a contract.
• To send marketing emails — only if you've opted in, and you can unsubscribe from any email. Legal basis: consent.
• To improve the site and measure our advertising — understanding how people use rootvo.com. Legal basis: consent (for non-essential cookies) or legitimate interests.
• To meet our legal obligations — such as keeping records for tax purposes. Legal basis: legal obligation.

Who we share it with

We share your information with service providers who help us run the business:

• Shopify — our e-commerce platform and payment processing
• Our fulfilment partner — to pick, pack and ship your order
• Delivery carriers — to deliver your parcel
• Klaviyo — to send our emails, if you've subscribed
• Meta and other advertising platforms — to measure and target our advertising, where you've consented

Some of these providers are based outside the UK and EEA. Where that's the case, transfers are protected by appropriate safeguards such as Standard Contractual Clauses or an adequacy decision.

We don't sell your personal information.

How long we keep it

Order and transaction records are kept for 7 years to meet tax and accounting requirements. Marketing contact details are kept until you unsubscribe. Website analytics data is kept for up to 26 months.

Your rights

You have the right to access your personal information, have it corrected or deleted, restrict or object to how we use it, receive a copy in a portable format, and withdraw consent at any time.

If you're not happy with how we've handled your information, you can complain to the UK Information Commissioner's Office at ico.org.uk, or to the Dutch Autoriteit Persoonsgegevens at autoriteitpersoonsgegevens.nl.
